What to put on a receipt

  • A receipt number and the date the payment arrived
  • Your business name and contact details
  • Who paid (the "received from" line)
  • What the payment was for: the job, or the invoice number it settles
  • The amount, with tax shown if you charged it
  • How it was paid: cash, card, check, transfer or a payment app (write it in Notes)

For a deposit, say so: "Deposit, 30% of estimate E-1042". When the balance comes in, issue a second receipt that names the first one. See invoice vs receipt for how the documents fit together.

Receipts in the TapBill app

In TapBill, receipts are free and unlimited on every plan. Mark an invoice paid, in full or in part, and one tap creates the receipt from it with the same lines. Starting from scratch here? Make the invoice first, or start with an estimate, or open a trade template.

Frequently asked questions

Can I write my own receipt?

Yes. A receipt you issue for a payment you received is a normal business record. Include who paid, what for, the amount, the date and how it was paid.

What is the difference between a receipt and an invoice?

An invoice asks for payment. A receipt confirms payment arrived. Send the receipt after the money is in your account.

Do I need a receipt for a cash payment?

It is good practice: cash leaves no bank record, so a receipt is the only proof for both you and your client.
