What an HVAC invoice should include

An AC repair bill often lands on the hottest week of the year, when the client is tired and the number feels high. A clear HVAC invoice shows what was wrong, what you replaced and what it cost, so nobody has to call you back to ask.

  • A diagnostic line that names the problem. "Diagnostic - AC not cooling" records the complaint you were called for. If the client asks later why the visit started at $95, the answer is right there.
  • Each part with its rating. "Dual run capacitor 45/5 MFD" and "Contactor 2-pole 30A" tell the next technician exactly what went in. Vague lines like "electrical parts" invite questions and make warranty work harder.
  • Refrigerant by the pound. Showing 2 lbs of R-410A at a per-pound rate lets the client see how much was added. If you added refrigerant, say in the notes whether you checked for a leak, so a second top-up next year isn't a surprise.
  • Labor that says what the hours were for. "Replace parts, leak check" explains 1.5 hours better than "labor" alone.
  • Maintenance work as its own line. Cleaning the condenser coil is a separate service. Listing it shows the client they got more than a part swap, and it's easy to drop if they decline it.
  • The equipment in the notes. Brand, model and serial number ("Trane XR14, serial on file") tie the invoice to one unit. That matters for manufacturer warranty claims, for the next visit, and for clients with more than one system.
  • Warranty and payment terms. The example says 90-day parts and labor warranty and due on receipt. Short terms that fit on one line are more likely to be read.

How to write an HVAC invoice

  1. Write down the model and serial before you leave the unit. A photo of the data plate takes seconds and saves a trip.
  2. Open with the diagnostic or trip charge, then list each part with its size or rating.
  3. Bill refrigerant by weight, with the type on the line (R-410A, R-454B or whatever the system uses).
  4. Add labor in hours and a few words on what was done during them.
  5. Add extras like coil cleaning or a filter as separate lines, so the client can see each one.
  6. Put the warranty, the due date and any late-fee terms in the notes. If you charge late fees, check your state's rules first.
  7. Set your local tax rate. The example uses 8.6%. Use the rate where you work, and check your state's rules on which parts of the job are taxable.

Use this hvac invoice template

Installs and system replacements usually start with a quote, and the HVAC estimate template shows one with equipment, permit and deposit. If your work overlaps with other trades, see how the electrical invoice lists breakers and wire, or how the plumbing invoice handles a water heater. For a blank start, use the invoice generator.

Frequently asked questions

What should HVAC invoice terms and conditions say?

Keep them short: how long your warranty on parts and labor lasts, what it doesn't cover (misuse, other people's repairs), when payment is due, and what happens if it's late. Put them in the notes so they print on every invoice. If you want terms with legal weight, have a local attorney review them.

How do I bill refrigerant on an HVAC invoice?

Put it on its own line with the refrigerant type and the quantity in pounds, then your price per pound. The client sees what was added instead of a single "recharge" charge, and you have a record if the system needs more later.

Do I need the unit's model and serial number on the invoice?

It isn't always required, but it's good practice. The model and serial link the repair to one piece of equipment, which helps with manufacturer warranty claims, repeat visits and clients who own several units.

Is an HVAC service invoice different from an installation invoice?

The layout is the same. A service invoice is short: diagnosis, a few parts, labor. An installation invoice usually follows an approved estimate and lists the equipment, line set, thermostat, removal of the old unit and the permit, minus any deposit already paid.

Next time, write it at the job.
