What a painting invoice should include

Painting is easy to underprice and hard to explain afterward, because the finished wall hides most of the work. A good painting invoice turns "it's just paint" into measured areas, named products and visible prep.

  • Walls and ceilings in square feet, with the number of coats. "820 sq ft, 2 coats" tells the client how much surface you covered and how many times. Ceilings get their own line because they take a different paint and more effort per foot.
  • Trim and baseboards in linear feet. Trim is cut in by hand and measured by length, not area. A separate line with the sheen ("semi-gloss") shows it's a different job from rolling walls.
  • Prep as its own line. Patching, sanding, caulking and masking can take as long as the painting. When prep is buried in the wall rate, clients don't see it, and they question the total.
  • Paint by the gallon, with the brand and product line. "Sherwin-Williams Duration, 6 gallons" shows the quality of what went on the walls. It also answers the client who wonders whether they could have bought the paint themselves for less.
  • Color codes in the notes. "SW 7008 Alabaster walls, SW 7006 Extra White trim" is the line the client will look for in two years when a wall needs a touch-up.
  • A clear due date. The example says due in 10 days. Whatever you choose, write it down, so the client isn't guessing.

How to write a painting invoice

  1. Measure each surface and write the unit on the line - square feet for walls and ceilings, linear feet for trim, a count for doors.
  2. Say how many coats and what sheen. It explains why two similar rooms can cost different amounts.
  3. Bill prep separately, even as a single line. Describe it in a few words: patch, sand, caulk, mask.
  4. List the paint with the brand, product and gallons used. If the client supplied the paint, leave it off and say so in the notes.
  5. Record the colors in the notes, by brand code and name, for each surface.
  6. Walk the job with the client before you invoice. Touch up what they point out, then send the invoice while the rooms still look new.
  7. Set your tax rate and due date. The example shows no sales tax line. Check your state's rules for painting labor and materials.

Use this painting invoice template

If you price jobs before you start, the painting estimate template shows an exterior quote with prep, rotted trim and a deposit. Painters who also patch drywall or hang doors can borrow lines from the handyman invoice, and the cleaning invoice is a good match for move-out work done the same week. You can also start from scratch in the invoice generator.

Frequently asked questions

How do I write an invoice for painting and decorating?

Use the same structure as a painting invoice and add a line for each decorating task - wallpaper hanging or stripping, coving, fillers - with its own unit, such as rolls or metres. Keep surfaces and rooms on separate lines, list materials with the brand, and put colour references in the notes. Check your local rules on whether VAT or sales tax applies.

What should the description say on a painting invoice?

Each line should say the surface, the area or length, the number of coats and the finish. "Living room and hallway walls, 2 coats (sq ft)" is enough. Leave the details of technique out, and keep the colors for the notes.

Should paint be a separate line from labor?

It doesn't have to be, but splitting them is clearer. The client sees the product they're paying for, and if they supply their own paint on the next job, you simply drop that line.

Do I put color codes on the invoice?

Yes, it's one of the most useful things you can add. The invoice is the document clients keep, and the color codes save them, or you, from guessing when a room needs a touch-up or a matching repaint.

Next time, write it at the job.
